According to the project plan annual general quality evaluations will be performed with the purpose to evaluate how the project is managed and performed regarding standard project activities and parameters.

The result of the audit will be used internally to identify areas that need improvement and it will also be presented as a report to the Steering Group with a suggested action plan.

A Project Audit is about if the project is being managed properly according to agreed standards and guidelines, and that the project plan is being followed. The aim of the Project Audit is to identify any project management errors that may have occurred during the project.

The focus areas of the project audit are:

  • Roles, responsibilities and resources including contingency planning for key staffers
  • Planned activities, their goals and time plans (and how these relate to the overall goals and time plans)
  • Monitoring and reporting of progress
  • Quality indicators and procedures for assessment
  • Risk analysis, monitoring and reduction activities
  • How stakeholder acceptance has been ensured

As proposed, WP audits will be performed on site. The audit on the general project level will be performed at quality workshops with the project group at a physical gathering. Preparations and follow up will be done through video conferencing tools.

The results will be documented in a report that will be made generally available after the approval from the project group.

The review will as stated only cover how the project as such is managed, i.e. how we follow agreed standards as well as how decisions are made, documented and followed up.

Evaluation of the project substantive criteria, i.e. how the deliverables meet the required quality standards, is the responsibility of WP5 and will be organized by the University of Warsaw.

Questions

The audit is based on a set of questions that will be used in interviews with project management and WP responsible. The questions cover the following areas:

  • Project planning
  • Project management
  • Quality management
  • Management procedures
  • Resourcing
  • Users
  • Development approach
  • Application architecture
  • Data architecture and standards
  • Production and operations support

Not all questions will be applicable to all interviewees; relevance for every question will be noted in the protocol together with practice and assessment comments.
